Creating a Deadline

1a. If you are on the free tier, then in left navigation menu, select
New Deadline
to create a new deadline.
1b. Otherwise, in the left navigation, select
New Deadline
to get a menu of options:
  • Single
    to create a new single deadline.
  • [Standard/Pro]
    Multiple for Level 1
    /
    Multiple for Level 2
    to create a deadline tagging as many level 1/2's as you require. This will result in creating individual deadline instance for each level 1/2 ticked. This is useful to quickly create multiple deadlines using the same deadline information but for different level 1/2 items.
  • From Template
    to bring up a list of your predefined templates and clicking on the name of the desired template will take you into that template with its predefined setting. You can then change anything necessary as described here.
2. The 'DEADLINE NAME' is the name for the deadline
3. If you have categories as part of your subscription you can pick the category/categories for the deadline. If you need to add a new one then click on the
button.
4. Pick the frequency the deadline repeats.
5. Depending on which repeat option is chosen you may then need to state the 'DEADLINE TYPE' such as how this repeats e.g. Last Monday, 20th of the month, etc...
6. The 'NOT BEFORE' date is important if you do not what the deadline to start immediately. If you want the deadline to be in a future month you need to change the not before date to the month you want the deadline to start.
7. The 'NOT AFTER' date is optional and if left blank the deadline will run until it is deleted or edited. If you want the deadline to finish after a certain date then enter that date here.
NB: 'NOT BEFORE' and 'NOT AFTER' only apply to repeating deadlines.
8. The 'OPEN PERIOD' is the date that you are able to start work on a deadline, when it is active from, so need to enter the months and days before the deadline that this is open.
9. The 'WARN PERIOD' is how long before the deadline do you want to be warned about it if it is still active.
10. In the 'NOTES' section you can add notes related to this deadline
11. Click thebutton to preview the next 3 instances (if applicable) when this deadline will become open, send a warning and the deadline date.
NB: Deadlines are synced to the working week so if you have selected the end of the month it will move to the last working day if that happens to fall on a weekend.
12. If these are not correct you can change the dates or repeat type and clickagain to see an updated version.
13. By clicking thebutton, this will save the deadline and take you back to the deadline dashboard.
14. By clicking thebutton, this will save the deadline and allow you to enter another deadline.
15. By clicking thebutton this will cancel this deadline and take you back to the deadline dashboard.

Editing a Deadline (Manager)

1. In left navigation menu, select
Deadlines
to go to you Deadline dashboard.
2. Select
Edit Deadline
from the
menu.
3. Change the deadline as necessary.
4. Click thebutton to preview the next 3 instances (if applicable) when this deadline will become open, send a warning and the deadline date.
NB: Deadlines are synced to the working week so if you have selected the end of the month it will move to the last working day if that happens to fall on a weekend.
5. If these are not correct you can change the dates or repeat type and clickagain to see an updated version.
6. By clicking thebutton, this will save the deadline and take you back to the deadline dashboard.
7. By clicking thebutton this will cancel this deadline and take you back to the deadline dashboard.

Working with Deadlines

In left navigation menu, select
Deadlines
to go to you Deadline dashboard.
Here you are able to work with your deadlines, like completing, snoozing or extending them.

Assign a User to a Deadline (Manager)

- Select
Assign Deadline
from the
menu.
- Select the user you want to assign to the deadline.
- Click
Assign Deadline

Completing a Deadline

To mark a deadline as complete and remove it, you can either:
- Click
on the right-hand side of the deadline.
or
- Select
Mark As Done
from the
menu.

Start a Deadline Early

To start a deadline early and mark it as In Progress:
- Select
Start Now
from the
menu.

Snooze a Deadline

If a deadline can't be started yet you had the ability to snooze it until it can be started, maybe you're waiting on paperwork from a client. This does not affact the deadline date, just when it'll become active again. To do this:
- Select
Snooze Deadline
from the
menu.
- Pick the date to snooze it until.
- Click
Snooze Deadline

Unsnooze a Deadline

To remove a snooze froma deadline:
- Select the Snoozed filter option at the top of the dashboard.
- Select
Unsnooze Deadline
from the
menu.

Extend a Deadline

Deadlines can be extended beyond their orginal deadline date. This will change the status of an overdue deadline back to a warned status. To do this:
- Select
Extend Deadline
from the
menu.
- Pick the date to extend the deadline until.
- Click
Extend Deadline

Tag a Deadline Instance

1. Select
Tag
from the
menu.
2. Type what you want the tag to say (this will appear in brackets next to the deadline name) and click
Apply
3. If you want to change what the tag says, then repeat the above steps 1-2
4. If you want to remove the tag, then repeat steps 1 and 2 and then remove the letters so this is blank and click
Apply

Delete a Deadline Instance

To delete an instance of a deadline:
- Select
Delete This Instance Only
from the
menu.
NB: Ensure that this is the correct occurrence of the deadline and not just the earliest one.

Delete All Instances of a Deadline (Manager)

- Select
Delete All Instances
from the
menu.
NB: This will delete all occurrences and will have to create a new deadline if you want this back.

Undo a Recent Action

If you delete or completed an instance of a deadline by accident, you can Undo it. To do this:
- Select the Recent filter option at the top of the dashboard.
- Click
on the right-hand side of the deadline.
